The Administration Team is looking for a new talent to join! 

Droids On Roids is currently looking for an organized & dedicated specialist who will become a part of the Administration Team as a Personnel Administration Specialist. We are looking for a person who, using their strong knowledge & understanding of labour law and relevant civil law regulations, will make sure that all employee-related obligations of our company and paperwork are taken care of & will support our employees with their HR matters on a daily basis.

  • 2+ years of experience as a Personnel Administration Specialist preferably in a software house or IT industry in general
  • Solid knowledge and understanding of Polish labour law, social security laws as well as other law regulations relevant for civil-based contracts in IT industry
  • Up-to-date with the latest changes in regulations concerning payroll & social security, labour law and other regulations of the field
  • Previous experience in managing & settlement of various employee benefits
  • Outstanding organizational & analytical skills with great attention to detail
  • Excellent ownership skills & ability to work independently and in cooperation with the team as well as external specialists (accounting office)
  • Proactive, articulate & kind communication
  • Knowledge of Google Suite office apps (Gmail, Google Drive, Google Docs, Google Sheets)
  • Openness to work from the office when needed (the possibility of working remotely up to 3 days a week)
  • Fluent command of written and spoken Polish (at a native level)
  • Ability to communicate freely in English (min. B1)

Extra points for:

  • Previous experience in working with MacOs, Slack, Jira, Miro
  • Previous experience in working with Calamari or other HR tools
  • Experience within IT industry
  • Knowledge of employee benefits products available on the market & experience in implementing them to the workplace
  • Experience in working with accounting documents, within accounting software 

Your responsibilities:

  • Being responsible for all HR documentation in the company
  • Managing all formal matters in hiring, onboarding and offboarding of the employees (including singing contracts & other necessary paperwork, organizing health and safety trainings & health assessments, preparing salary settlements & holiday pay settlements)
  • Administering HR data management, including maintenance of personal related records in HR System, update employee data files, ensure data accuracy and conduct periodic audits
  • Supporting external payroll specialist
  • Keeping personal files (B2B) & making sure that all the necessary employee documentation is up-to-date, signed & archived
  • Preparing & signing annexes to the employees’ contracts, if necessary
  • Managing and preparing settlements of employee benefits, including self-development budget, conference budget & other employee’ budgets
  • Coordinating periodic medical assessments & health and safety trainings for employees
  • Preparing bank transfers for B2B salaries 
  • Maintaining contact & providing necessary information to the accounting office
  • Managing employee leaves in a leave management tool (Calamari)
  • Supporting employees on their personnel-relate matters on a daily basis
  • Proactively informing about changes in relevant law regulations
  • Providing data for other departments
  • Supporting other members of Administration Team, People Team & Leadership members in employee-related matters
